COVID-19 PROTOCOL COMPLIANCE
To protect the health and safety of drivers, staff, and clients, Lehigh Valley Black Car (LVBC) has implemented a set of protocols that must be met by all passengers inside our vehicles. Any passenger not complying with our protocols will be asked to exit the vehicle, the transportation will be immediately canceled, and the full amount of the transportation will be charged. RESERVATIONS
Reservations can be made online or by contacting our office directly. Once an online reservation request is submitted, you will immediately receive a copy of your request by email and/or text. Reservation requests made online are NOT confirmed until you have received an additional confirmation email and/or text from Lehigh Valley Black Car.
CHANGES TO RESERVATIONS
Changes can be made to any reservation by calling our office. If you are changing your reservation on short notice, we will do our best to accommodate your request. If your vehicle has not already been dispatched, we can often make changes without penalty. Vehicles are typically dispatched one (1) to two (2) hours before the reservation; however, it may be longer depending on the driving time to the pick-up location. If we cannot accommodate your request due to availability, you can keep the original reservation or cancel the reservation; cancellation fees may apply. Please see the cancellation policy for possible additional charges.
CANCELLATION POLICY
When you make a reservation, we hold that spot usually without a deposit. Should you cancel within 48 hours of pickup, a cancellation fee of 50% of the fare will be assessed. We will always try to work and reschedule so the fee can be waived. Our goal is to provide superior service at a fair price.
To verify that your reservation has been canceled and to ensure proper credit, please make sure that you receive a cancellation notice for each canceled reservation. All canceled reservations, regardless of when they were canceled, with a $400 or more refund due will incur a 5% credit card processing fee to be deducted from the balance even if given proper notice. Unless services are reserved and pre-paid, prices may increase without notice.

BILLING
All rates are calculated and billed in U.S. dollars. Additional charges will be itemized on the customer’s billing statement when applicable (e.g., tolls, parking, airport and regulatory fees, operating surcharge). Due to fluctuating currency exchange rates, U.S. dollar equivalents of international rates may vary. All published rates are subject to change without notice. Applicable taxes will be charged as required.
A 25 % U.S. holiday surcharge, based on the fare, stop, and waiting time, will be charged to all trips occurring on New Year’s Day, Memorial Day, Fourth of July, Labor Day, Thanksgiving Day, and Christmas Day. Similar surcharges apply to trips occurring on recognized holidays in locations outside the United States.
PAYMENT
We accept payment only by credit card. We will charge the credit card on file in your account sometime between 24 hours before the scheduled pickup time and the time of service. If the charge to the credit card is declined, we will make our best effort to contact you to resolve the issue with your card. A resolution must be made by 12:00 PM the day after the scheduled service. By that time, if we are still unable to charge your card, a late fee will be added to the base rate in an amount equal to the higher of either $25 or 10% of the total amount due. We reserve the right to terminate service at any time for non-payment.
WAIT TIME CHARGES
There will be no charge for wait time if transportation commences within the first 15 minutes of the reservation. Once the grace period has expired, an additional $25 will be charged to the base rate for every 15-minute increment. If you have not made contact with our driver or our office within the allotted grace period, you will be considered a no-show. In such a case, see our 'No Show Policy’ below.
TOLLS
All round trip tolls are billed to the customer depending on the route chosen. Lehigh Valley Black Car will charge for all round trip tolls to and from the designated destination. Lehigh Valley Black Car only collects the tolls; we do not charge them.
PARKING FEES
All parking fees and other airport regulatory fees are additional (usually $8.00-$16.00 depending on time). We do not charge them; these fees go directly to the airport parking lots.
GRATUITY
A 20% tip (gratuity) is added to every trip; there is no need to tip anything additional to the drivers unless you would like to.
NO SHOW POLICY
If you do not see your driver at a certain pickup point, do not leave before calling the office at +1 (347) 636-0377. We will direct you to your driver. If you leave without calling, you will be billed for the full price of the ride plus any accumulated expenses (or a no-show fee). If we do not hear from you, the driver will wait up to 30 minutes at regular pickups and up to 45 minutes at inside airport pickups after the scheduled pickup time. We will then try to reach you by calling the contact number on file, depending on the nature of the pickup. If we do not get a response, we will then release the car, and you will be billed for a No Show which will be the Full Price of the ride (or a no-show fee) plus any waiting time charges. To authorize the driver to wait, please call the office at +1 (347) 636-0377. If we do not hear from you after the timeframe, we will contact you again; if no contact is made, you will get billed for the ride, plus the waiting time. Therefore a “No Show” fee is equal to the trip cost plus the applicable wait time fee that will be charged when the passenger fails to arrive at the designated location. If you cannot locate your driver, Please call +1 (347) 636-0377 to avoid a “No Show” fee.

AIRPORT ARRIVALS
Flight information must be up-to-date to avoid major delays in airport pickups.
Please turn your cell phone on as soon as you land. By the airport authority rules, to enter the airport, we must have your up-to-date flight number on file, also so we can monitor your arrival(no need to call if the flight is delayed). If, after 1 hour from the flight landing time, the driver and vehicle do not depart the airport, a waiting charge of $25 per 15 minutes increment will be charged to the account on file. The same fees apply to any wait time for a 2nd flight that was not pre-arranged and listed on this confirmation in addition to the one we have on file. A pickup from more than 1 terminal will incur an additional $20 entry fee + any wait charges after 1st terminal pickup. Please understand that we pay a high premium for parking inside airport terminals and merely pass on the cost. If we are provided with more than 1 flight to monitor at the time of reservation, the latest arriving flight will take precedence where the driver will arrive at its corresponding baggage claim at the updated arrival time.
MEET & GREET PROCEDURE
FROM AIRPORT:
The driver will stand by the baggage claim area.
Meet and Greet Airport Service is free. However, parking and waiting time charges (if incurred) will be billed to your account or credit card. The driver will be instructed to meet the passenger by the baggage claim area with a sign with his or her last name on it; the driver will then escort the passenger to the designated vehicle location (assisting with the luggage). This package comes with a complimentary 15 minutes free for domestic flights and 30 minutes free for international flights from the arrival time. Before collecting your luggage, meet the driver in the designated area. Call +1 (347) 636-0377 if unable to locate the driver.
FROM HOTELS, RESIDENCES & FIXED LOCATIONS:
The driver will stand outside the main entrance.
We usually position the driver at the pickup location 15 minutes before departure. Please be ready 5-10 minutes before pickup time to allow loading. We must leave by the scheduled pickup time as we have commitments to other guests, so please be prompt. A grace period of 15 minutes wait is provided. After 15 minutes: a waiting charge of $25 per 15-minute increment will be charged to the account on file. Pickups/arrivals between 11:00 pm and 6:00 am will incur a late/early pickup fee of $25.
STOPS
Price per stop varies based on distance and location. Please submit an online inquiry to request pricing. Courtesy stops, such as briefly leaving the vehicle to pick up coffee, a newspaper, or to mail a letter, do not incur extra charges. However, if longer stops or multiple stops are made, you will be billed stop charges. Picking up additional passengers will also incur stop charges.
LOST/FORGOTTEN ITEMS
Lehigh Valley Black Car is not responsible for items left in our vehicles. Please check for your valuables before you leave the vehicle. Following transportation, if something is found by our driver, we will do our best to contact you and return the item. Any costs related to the return of items are the client's responsibility. Unclaimed item(s) will be entered into our Lost & Found box in our secure office for six months or until they are claimed, whichever comes first. Items unclaimed after 6 months become the property of Lehigh Valley Black Car.
REGURGITATION CLEAN-UP FEES
Regurgitation in or on our vehicles throws our schedule in disarray. The vehicle must be taken out of service, thoroughly cleaned, and dried before returning to service. As well, the driver and passengers should not be exposed to bodily fluids. Therefore, we take regurgitation very seriously. If anyone in your group regurgitates in or on our vehicle, your ride will be immediately terminated, and your credit card will be charged for the entire reservation. The sooner we can clean the vehicle, the less damage will occur. Therefore, we will give you the option of immediately releasing our vehicle or bringing you back to the point of origin or your destination, whichever is closest. A minimum cleaning fee of $500 will be assessed; however, depending on the type of cleaning required, cleaning fees could be as much as $1,000. If professional cleaning does not restore the vehicle to its original condition, we may need to replace the carpet, fabric, and/or other materials. In such cases, in addition to cleaning fees, damage fees will apply. See our 'CLEANING & DAMAGE FEES' for more information. There are absolutely no exceptions.
CLEANING & DAMAGE FEES
Lehigh Valley Black Car reserves the right to charge a clean-up fee of up to $500 if there are excessively spilled fluids or excessive trash left in the vehicle(s). Note that 'fluids' in this context does not include fluids caused by human regurgitation. For clean-up fees related to regurgitation, see 'REGURGITATION CLEAN-UP FEES.' Customers will be held liable for any damage they cause to our vehicle(s). Fees will be based on the actual cost to repair the damage and restore the vehicle to its previous condition, as well as the time it takes to repair such damage, accessed at $500 per day for the number of days our vehicle is out of service. Therefore, damage fees could be significant. Do not damage our vehicles.
CONSUMPTION OF ALCOHOL
Our vehicles are NOT party buses. We operate a professional service that transports many regular well-known clients who do not want a vehicle that smells like a party bus. Therefore, if you drink alcohol, do so responsibly. Our clean-up fee for spilled alcohol in our vehicles ranges from $250 to $500, depending on the type of cleaning required. Regurgitation clean-up fees range from $500 to $1,000 [see Regurgitation Clean-Up Fees for additional information]. If cleaning does not restore the vehicle to its original condition, there may be additional damage fees [see Cleaning & Damage Fees for additional information]. Excessively inebriated passengers, as determined by our driver, will result in immediate termination of service, and you will be charged the full confirmed rate plus any accumulated expenses. It is your responsibility to monitor your fellow passengers.
CONSUMPTION OF FOOD
Consumption of fast food or any type of food that contains grease and/or the possibility of staining leather seats is prohibited in all our vehicles. Consumption of simple snacks is allowed, but please note that our clean-up fee for food spillage in our vehicles ranges from $50 to $500, depending on the cleaning needed to restore the vehicle to its original condition. If cleaning does not restore the vehicle to its original condition, there may be additional damage fees [see Cleaning & Damage Fees for additional information]. Individuals consuming prohibited food will be asked to cease immediately. Refusal will result in immediate termination of service, and you will be charged the full confirmed rate plus any accumulated expenses.
PROHIBITED SUBSTANCES OR BEHAVIOR
All vehicles are strictly NON-SMOKING, including e-cigarettes and vapor devices. If any passenger smokes in our vehicle, a minimum cleaning fee of $250.00 will apply, plus the cost of repairs for any damage related to smoking. Narcotics or controlled substances are strictly prohibited. Violations will result in immediate termination of service, and you will be charged the full confirmed rate plus any accumulated expenses. Conduct determined by our driver that places our driver, property, and/or passengers at risk will result in immediate termination of service. You will be charged the full confirmed rate plus any accumulated expenses. Excessively inebriated passengers, as determined by our driver, will result in immediate termination of service, and you will be charged the full confirmed rate plus any accumulated expenses. No refund will be made.
FIREARMS
Lehigh Valley Black Car prohibits the carrying of concealed or open-carry firearms in our vehicles. Exceptions are made for law enforcement and other professions which require a person to carry a concealed or open-carry firearm. Violations will result in immediate termination of service, and you will be charged the full confirmed rate plus any accumulated expenses.
MAXIMUM VEHICLE CAPACITY
Drivers are not authorized to exceed the number of available vehicle seat belts. Exceeding the number of available seat belts violates state law and/or insurance guidelines.
LIABILITY
Lehigh Valley Black Car is not responsible for passenger expenses in case of any issue that prevents the safe execution of service. Lehigh Valley Black Car is not responsible for service delayed or not rendered due to mother nature or to circumstances beyond our control, including but not limited to weather, road conditions, breakdowns due to mechanical failure, traffic congestion, road closures, accidents, flight delays, etc. In cases where we cannot dispatch a vehicle because of mechanical difficulties or an extreme weather hazard, a replacement vehicle or full refund will be offered. While we make every effort to meet our obligations, the safety of our passengers and drivers is paramount.
DISPUTES
If you dispute a charge, call our office for resolution. We will do our best to resolve the issue to your satisfaction. If you dispute a charge with your credit card company and Lehigh Valley Black Car must respond to resolve the dispute, a $100 collections fee will be charged to your credit card upon the resolution of the dispute in favor of Lehigh Valley Black Car to cover our time and effort to collect funds due.
It is hereby agreed on all actions, disputes, claims, and controversies under common law, statutory law, or in equity of any type or nature whatsoever, whether arising before or after the date of this agreement and whether directly or indirectly relating to (a) this agreement and/or any amendments and addenda hereto, or the breach, invalidity or termination hereof; (b) any previous or subsequent agreement between the parties; and/or (c) any other relationship, transaction or dealing between the parties (collectively the “Disputes”), will be subject to and resolved by arbitration through mediation. The arbitrator’s decision shall be final and binding, and judgment may be entered thereon. In the event a party fails to proceed with arbitration, unsuccessfully challenges the arbitrator’s award, or fails to comply with the arbitrator’s award, the other party is entitled to costs of suit, including a reasonable attorney’s fee for having to compel arbitration or defend or enforce the award. Any award or order rendered by the arbitrator may be confirmed as a judgment or order in any state or federal court of competent jurisdiction, which includes within the federal judicial district of the residence of the party against whom such award or order was entered.
